Workspace Users

Workspace users are people from your organisation who have been added to a workspace.

Use workspace membership when someone should participate in the workspace as part of your organisation's team. Workspace users use the workspace's shared boards, lists, labels, custom fields, checklist templates, automations, and assigned-work views according to their role.

Workspace users count toward your organisation's seats because they are organisation users. Add someone as a workspace user when they should be part of your organisation's ongoing team, not just an external board collaborator.

Add a workspace user

  1. Open the workspace.
  2. Go to Workspace settings -> Members.
  3. Select an organisation user.
  4. Choose their workspace role.
  5. Click Add.

Only users who already belong to your organisation can be added as workspace users. If someone is not in your organisation yet, add them to the organisation first, then add them to the workspace.

Adding someone to the organisation makes them a seated organisation user. Adding that user to a workspace then gives them access to the workspace according to their workspace role.

Manage workspace users

From Workspace settings -> Members, admins and owners can:

  • Search workspace members.
  • Add organisation users to the workspace.
  • Change member roles.
  • Remove members from the workspace.

Admins can manage non-owner roles. Owners can manage ownership roles.

Change a workspace role

Use the role selector beside a member on the Members page.

Only workspace owners can add, promote, downgrade, or remove another owner. Kanera also prevents removing or downgrading the last workspace owner.

Remove a workspace user

Removing a workspace user removes their access to the workspace and all boards they reach through that workspace membership.

Kanera asks for confirmation before removing a member. Removing a user does not delete cards, comments, or activity they previously created.

Workspace users vs guests

Use workspace users for people who are part of your organisation and should work across the workspace.

Use guests for people outside your organisation who should only access selected boards and whose email domain differs from the organisation owner's domain.

On hosted Pro, a guest can access one or two boards without a paid seat licence. You can add the same guest to three or more boards, but that guest then needs a paid seat licence.
